DHL Envelope for Embassy

How to send your passport/documents safely to the Indian Embassy via DHL

âš ī¸ Before entering the Consular Section, ensure you have an A4 envelope with a pre-paid DHL Express (FAST) courier label already printed. The Embassy does not provide envelopes or print labels on-site.

Book Online at DHL Express Netherlands

Visit the DHL Express booking portal, use the DHL app, or scan the official Embassy DHL QR code to go directly to the booking page.

Select FAST (EXPRESS)

On the booking page, choose the FAST (EXPRESS) service. Do not select Economy or other service types — only Express is accepted for Embassy submissions.

Select Parcel Size — Express Envelope A4

When prompted for parcel size, select Express Envelope A4. This is the correct size for passport/document submissions to the Embassy.

Fill Your Details (Receiver)

Enter your own details as the Receiver. Select delivery at your home address so the Embassy can return your documents directly to you after processing.

Fill Sender Details — Embassy of India

Enter the Embassy as the Sender:
Embassy of India, Buitenrustweg 2, 2517 KD The Hague
For contact details, enter your own email address and phone number (so you receive tracking updates).
Select Label Print to generate a printable waybill label.

Pay Online & Print the Waybill

Complete the payment online. Download and print the waybill label. Attach it to your A4 envelope. Bring this pre-paid labelled envelope with your document submission when you visit the Embassy.

💡 Tip: Always include a cover letter listing all documents submitted and your contact details. Keep a photocopy of everything before sending. Your printed waybill is mandatory — do not arrive without it.

Receive Your New Passport

Passport is typically dispatched within 2–4 weeks via DHL. You will receive a tracking number. Old passport will be returned with your new one (hole-punched).

Understand When You Need an EC

An Emergency Certificate is issued when your Indian passport is lost, stolen, expired, or damaged and you need to travel to India urgently (within 1–2 weeks).

File a Police Report (if Lost/Stolen)

If passport is lost or stolen, file a report with Dutch police (Politie) immediately. Get a copy of the police report — this is mandatory for the EC application.

Collect Your EC
