DHL Envelope for Embassy
How to send your passport/documents safely to the Indian Embassy via DHL
Visit the DHL Express booking portal, use the DHL app, or scan the official Embassy DHL QR code to go directly to the booking page.
my.dhlexpress.nl â Book Now âDownload Embassy DHL QR Code PDF âOn the booking page, choose the FAST (EXPRESS) service. Do not select Economy or other service types â only Express is accepted for Embassy submissions.
When prompted for parcel size, select Express Envelope A4. This is the correct size for passport/document submissions to the Embassy.
Enter your own details as the Receiver. Select delivery at your home address so the Embassy can return your documents directly to you after processing.
Enter the Embassy as the Sender:

For contact details, enter your own email address and phone number (so you receive tracking updates).
Select Label Print to generate a printable waybill label.
Complete the payment online. Download and print the waybill label. Attach it to your A4 envelope. Bring this pre-paid labelled envelope with your document submission when you visit the Embassy.
Passport Renewal â Complete Guide
Step-by-step journey to renew your Indian passport from the Netherlands
Register/login at passportindia.gov.in. Fill the renewal application form (SP form for reissue). Select the Embassy of India, The Hague as your consular post.

Book Appointment âPay the passport fee as specified. Refer to the official fee chart for current amounts.
Gather: current Indian passport (original + copy), valid Dutch residence permit, proof of NL address, printed online application, recent biometric photos (35Ã45mm, white background).
Embassy of India, The Hague. Arrive on time â bring all original documents plus self-attested copies. Submit at the counter, biometrics may be taken.
Passport is typically dispatched within 2â4 weeks via DHL. You will receive a tracking number. Old passport will be returned with your new one (hole-punched).
Emergency Certificate (EC)
For urgent travel to India when passport is lost, stolen, or expired
An Emergency Certificate is issued when your Indian passport is lost, stolen, expired, or damaged and you need to travel to India urgently (within 1â2 weeks).
If passport is lost or stolen, file a report with Dutch police (Politie) immediately. Get a copy of the police report â this is mandatory for the EC application.
Download the official Emergency Certificate information and form from the Embassy page. Fill it completely and accurately.
EC Application â Official Embassy Page âYou will need: completed EC form, police report (if applicable), proof of Indian citizenship, Dutch residence permit, 2 passport photos, proof of emergency travel.
Book an urgent appointment online or contact the Embassy directly for same-day/next-day processing in genuine emergencies.
Book Emergency Appointment âEC is usually issued on the same day or within 1â2 working days. It is valid for single travel to India only. Apply for a new passport upon arriving in India.
Police Clearance Certificate (PCC)

PCC applications are submitted through the Passport Seva portal. Login and select "Police Clearance Certificate" as the service type.

Attestation of Documents
How to get Indian documents attested by the Embassy for official use
Common documents: educational certificates (degree, marksheet), birth certificate, marriage certificate, power of attorney, affidavits.
Embassy Attestation Page âFor many documents, you first need attestation by the State government or Ministry of External Affairs (MEA) in India, before the Embassy in NL can attest them.
You will need: original document + copies, your valid Indian passport, valid Dutch residence permit, a covering letter explaining the purpose of attestation.
Book an appointment at the Embassy. Submit all originals and copies at the counter along with the applicable fee.

OCI Card Application

OCI is available for persons who were Indian citizens on/after 26 Jan 1950, or are children/grandchildren of such persons, or are foreign nationals married to Indian citizens/OCI holders.
Apply at the official OCI portal: ociservices.gov.in. Complete the online form and upload all required documents.
